Privacy Policy for the 11th International Congress on “Innovations in Soil Science and Plant Nutrition under Climate Change” (Eurasian Soil Congress 2025)

LEGAL NOTICE

In compliance with international regulations on data protection and e-commerce services, the Federation of Eurasian Soil Science Societies (hereinafter, the "Organizer") provides the following Privacy Policy for the 11th International Congress on “Innovations in Soil Science and Plant Nutrition under Climate Change” (Eurasian Soil Congress 2025).

The Organizer is responsible for managing the congress platform and event, hosted at Ondokuz Mayıs University, Samsun, Türkiye, from 1–4 September 2025. Any inquiries regarding this Privacy Policy can be directed to the Organizer at congress@fesss.org

PREAMBLE

By registering for the Eurasian Soil Congress 2025, users agree to read, understand, and accept the terms outlined in this Privacy Policy. These terms regulate the use of personal data submitted during the registration process and the interaction with the congress platform.

Organizer: The Federation of Eurasian Soil Science Societies, responsible for managing all aspects of the congress.

Services: Refers to all congress-related activities, including registration, access to scientific sessions, and other event-related services.

The Organizer collects and processes the following personal data to facilitate participation in the congress:

Payment Information: Payment details required for registration fee transactions.
Optional Data: Information voluntarily provided by the user (e.g., student verification documents).

Managing user registration and participation in the congress.
Issuing congress materials, certificates, and receipts.
Communicating event updates and important notices.

The Organizer ensures that personal data will not be shared with third parties unless explicitly authorized by the user or required by law.

The Organizer implements secure systems to protect user data from unauthorized access, alteration, or disclosure. Users are responsible for maintaining the confidentiality of their account login credentials.

CANCELLATION AND REFUND POLICY

Users who have paid the registration fee but are unable to attend the congress may request a refund. Refund requests must be submitted in writing to congress@fesss.org. Refunds will be processed as follows:

Refunds will be made via bank transfer within 1 month of the request.
Bank transfer charges and a legal tax deduction of 20% will be applied to the refunded amount.

USER RESPONSIBILITIES

Users agree to:

Provide accurate and truthful information during the registration process.
Comply with the Organizer’s rules and regulations during the congress.
Notify the Organizer of any changes to personal or payment information.

The Organizer reserves the right to deny participation or cancel user accounts in case of fraudulent or inaccurate information.

INTELLECTUAL PROPERTY

All materials, logos, and content provided during the congress are the intellectual property of the Organizer. Users may not copy, distribute, or reproduce any content without the Organizer’s prior written consent.

MODIFICATIONS TO THIS POLICY

The Organizer reserves the right to update this Privacy Policy at any time to reflect changes in legal or operational requirements. The updated Privacy Policy will be available on the congress website, and users are encouraged to review it periodically.

APPLICABLE LAW AND DISPUTE RESOLUTION

This Privacy Policy is governed by the laws of Türkiye. Any disputes arising from the application of this policy will be subject to the jurisdiction of the courts in Samsun, Türkiye.
